BUSIness Situation

As SATS explored new alternatives, it uncovered a wide variety of needs that must be addressed by the right solution. These included requests for staff transportation for shift work, creation of new IDs for time login and attendance, booking of meeting rooms and facilities, document management and sharing, as well as fundamental calendaring, contacts, task management and collaboration. More importantly, it required a single Global Address Book for the entire company. It also saw the opportunity to provide Senior Management with the ability to instantly conference with parties outside Singapore without having to travel. The cost and time savings from this alone could be substantial.

From the most fundamental day-to-day operations perspective, looking at the Microsoft Office 365 solution which included Lync Online, offered SATS an opportunity to improve point-to-point communications between its operations staff on the ground along with improved access to needed schedules, information, and documents in the most cost effective and convenient, and yet secured means. Prior to Office 365, all point-to-point communications were conducted over public switched telephone network lines, and all document retrieval required a visit to a desk-based computer terminal.

Messaging was the first priority, with document management and audio / video conferencing next. With Office 365, SATS employees can access their email and documents anywhere any time using their PC, laptop or mobile devices. “Other than the need to migrate about 9000 mailboxes (with archival), there were at least 10 Lotus Notes workflow-based applications that we had to migrate to BPOS / Office 365,” explains Lee Siew Kit, Vice President of IT Services for SATS. “Surprisingly, with all these mailboxes and applications to migrate, it only took us four months to complete the switch with little issues. Quite an achievement I must say!

The boardroom at SATS headquarters has been equipped with a Microsoft Roundtable (intelligent video and audio conferencing device) that can display live video of the attendee who is currently speaking as well as a panoramic view of the meeting group. Attendees in transit can participate remotely using their smartphones, tablets, or laptops.
